This notice explains how personal data submitted through the SMSE Marine website and technical request form is handled.
1. Responsibility and contact
Personal data submitted directly through this website is handled by people authorised on behalf of SMSE Marine for the purpose of assessing and securely managing the request. Controller and processor roles under data protection rules are determined by the specific circumstances of the request and service relationship.
For a privacy request, use the form on the contact page and begin your message with “Privacy request”. The website does not publish an unverified email address, telephone number or office address.
2. Data we collect
The technical request form may include your full name, email address, optional telephone number, company or vessel name, selected service, message, form language and consent record.
Hosting and security infrastructure may generate limited technical data such as request time, IP address, browser and device information, and error or security logs. We do not request payment details or public-site account data through the general website.
3. Purposes and legal bases
We use the data to assess your request, communicate with you, prepare a technical scope or quotation, coordinate a project, maintain records and protect the website.
Depending on the specific request and applicable rules, processing may be based on steps taken at your request before a contract, entering into or performing a contract, legal obligations, legitimate interests, or consent where required. Where processing is based on consent, it may be withdrawn prospectively.
4. Sharing and international processing
Data may be shared on a limited basis with authorised team members who need access to assess the request and with hosting, security, communications or technical-support providers required to deliver the service. The scope of each disclosure is determined with regard to the request and applicable rules.
If a project connected with Türkiye or Syria requires cross-border access, any transfer or access decision is made only after the relevant project, recipient, data type and applicable requirements have been verified. This notice does not state in advance that a particular international transfer takes place.
5. Retention and security
Request records are retained for as long as needed for assessment, quotation, the project relationship, dispute management and legal obligations. Authorised admin users can permanently delete records that are no longer required; specific retention periods are determined according to applicable rules and business needs.
After permanent deletion, the record is removed from the active database. Infrastructure backups and technical logs, if any, may remain for a limited period under the service provider's technical cycles and applicable requirements. No internet transmission or storage method can provide absolute security.
6. Your rights and notice changes
Depending on your location and applicable law, you may have rights to access, correct or delete your data, restrict or object to processing, request portability, or withdraw consent. We may need to verify your identity and the scope of the request. You may also have the right to contact the relevant supervisory authority.
